Chemical Purchasing

George Mason personnel wishing to procure chemicals or hazardous materials for non-routine purposes, such as guest lectures or demonstrations, must contact the Office of Laboratory Safety (labsafe@gmu.edu, 993-8448) before acquiring these materials. The Office of Laboratory Safety will ensure that proper material receiving, storage, transportation, and other safe handling procedures are in place in these situations.

 

Hemlock Overlook's Name Change

Hemlock Overlook is announcing that it's official name, as approved by Provost Stearns and Dean Gorrell, College of Education and Human Development, has been changed.

New name: Hemlock Overlook Center for Experiential Education
Old name: Hemlock Overlook Center for Outdoor Education

As Center Director Susan Johnson explains, "the phrase Experiential Education is more in line with the center's mission. Our mission is as follows: Hemlock Overlook Center for Experiential Education will facilitate, educate and involve individuals and organizations through experiential team building and environmental education while fostering growth and leadership development. The old name was somewhat misleading in that the center does not offer outdoor recreation activities that are commonly associated with outdoor recreation, i.e.: rockclimbing, kayaking, and white water rafting. The opportunities offered at the center actually focus on what is generally known as experiential learning, for example, through internships, practicums, research projects, the team development course, corporate training, and student leadership opportunities."

 

Electrical Safety at the Office

Electrical equipment used in the workplace can cause serious shock and burn injuries to employees if not used properly. By following the guidelines offered by North Carolina's Touchstone Energy cooperatives, you can greatly reduce the risk of electrical injury:

• Clean up the clutter.
• Keep liquids away from all equipment connected to the electricity supply.
• Do not use unsafe equipment or poorly maintained appliances.
• Examine all cords on a monthly basis. If wires are showing or a cord is frayed, discard it immediately. Damaged cords are hazardous and can start a fire or give you a shock.
• When unplugging equipment, do not pull on the cord itself. Instead pull by the plug.
• Avoid running extension cords across walkways where people are at risk to trip.
• Do not overload electrical circuits.
• If you need to clear a jam in an office machine, do not insert fingers or metal objects into working parts. Do not open the machine while the power is on. To be safe, call a technician to fix other than the simplest problem.

Nominate Students for Vision Awards

Mason's annual Vision Awards, sponsored by the Office of Diversity Programs and Services (ODPS), is an awards recognition and banquet celebration held annually for Mason students, faculty and staff of diverse backgrounds and their allies. The event honors students for excellence in academics, leadership, social justice and building of community harmony.

This year's Vision Awards celebration will be held on Saturday, April 7. We're now seeking Vision Awards nominations for outstanding students in two categories: Leadership and Social Action/Justice.

For distinction in Leadership, students will have successfully held leadership positions in campus or community organizations, and use their leadership to empower others. To be recognized for Social Action/Justice, students will have demonstrated a commitment to social justice work, show understanding of the links between forms of oppression, and work to build bridges across communities.

Nominate students from African American, American Indian/Alaskan Native, Asian/Pacific American, Latino/a/Hispanic, Middle Eastern/Arab, and LGBTQ communities as well as students who are allies to these communities. Nomination forms are available at the ODPS Office in SUB I, and the forms will be soon available online at the ODPS website.

Undergraduate Academic Advisor of the Year

Academic Advisor of the Year nominations are now being accepted. Log on to advisoroftheyear.gmu.edu to submit your nomination. Nominations will be accepted from Monday, February 12 until Friday, March 2. The award will be presented at the Academic Advising Roundtable luncheon on March 28, as part of Academic Advising Awareness Week. Fiscal Year-End Purchase and Payable Deadlines

As the end of the fiscal year 2007 approaches on June 30, you need to be aware of some important dates related to the university’s fiscal year-end. Read and keep this information to assist in your year-end planning.

Departments should begin planning their purchases and/or payments to ensure that supplies, equipment, and services paid from Educational and General (E & G) funds are delivered and paid for by fiscal year-end. The cut-off dates below have been established to allow sufficient time necessary for Purchasing and Accounts Payable to complete the purchase, delivery, invoice submission and payment processes by June 30. Our combined efforts will ensure that year-end purchasing and payments are efficient and effective.

Every attempt will be made to process all requirements as they are submitted. Items with longer lead times should be submitted immediately in order to guarantee being charged to this fiscal year’s budget. It is recommended that you do not wait until the deadline date to begin submitting your requisitions.

Be aware that for deliveries (or invoices) received on purchase requisitions submitted after the dates listed below, payment may not be processed until the new fiscal year which will result in charges to next year’s funds. Descriptions of services and submission dates follow:

· VCE Office System Furniture (all dollar values) - submit by March 1
· Purchases above $50,000 - submit by March 15
· Purchases between $30,000 and $50,000 - submit by April 16
· Purchases between $2,000 and $30,000 - submit by April 27
· Small Purchase Credit Card - charged by May 14 (all transactions on May statement paid in June are charged to FY 2007)
· Purchases <$2,000 Receiving Reports, Invoices, and Check Requests - submit by May 31
· Travel Vouchers - submit by June 11
· Patriot Computer Store Purchases - complete by June 12

When competitive sealed bidding or negotiation is required the time needed for the procurement may be longer. In accordance with the Commonwealth of Virginia Prompt Pay Act, the 30-day payment cycle requires that vendor invoices for received goods or services must reach Accounts Payable by May 31, in order to have current fiscal year budgets charged. Check Requests and eVA (non-small purchase card) orders for less than $500 will be processed through June 12. Keep in mind that payment cannot be made on invoices received prior to the receipt of the goods or services.

Reminder: The small purchase credit card is a terrific way to make year-end purchases. The card may be used for operational purchases of less than $2,000 and is encouraged for all transactions with vendors that accept the card.

HR/Payroll - Daffodil Days

Beat the winter doldrums with a touch of spring and help the American Cancer Society at the same time by participating in Mason's annual Daffodil Days. Daffodil Days is an opportunity for faculty and staff to support the American Cancer Society by purchasing a bunch (10) of daffodils or a pot of 3-4 mini bulbs for $10.00 each. This year there is a new addition -- Hugh R. Hope, a special Boyd's bear designed exclusively for Daffodil Days Bear & a Bunch (or Bear & a Pot) for $25, while supplies last.

Because we got off to a late start, the deadline for Daffodil Days ordering has been extended to Friday, February 23. Daffodils will be distributed on Tuesday, March 13. The Daffodil Days coordinator in your office or department has order forms and will take care of both your order and the pick up of your flowers.

Passport Fair at Mason

Due to the new law, effective January 23 that now requires Americans to show passports when returning from Canada, Mexico, the Caribbean, and other places, University Services has arranged with the US Post Office to come to Mason for one day and process passport applications. The passport fair will be held on Tuesday February 13 from 9:00 am - 3:00 pm in the Johnson Center, Room 116.

Fees:
Age 16 & older - $67 for the application fee and $30 for the execution fee for a total of $97 Under 16 - $52 for the application fee and $30 for the execution fee for a total of $82
Under age 14, must have consent from both parents
Photo Fee for 2 photos - $15

Documents needed:
1. Passport application (available at the fair) and must be an original.
2. Proof of US citizenship (birth certificate, old passport).
3. Two identical color passport photos (can be provided at the fair for a fee).
4. Payment methods: checks, money orders or cash only. Two checks or money orders, one for the application fee and one for the execution fee.
5. Contact University Services, 993-2840 to request an application form prior to the fair.

 

Mason Historian to Host Panel of President Lyndon Johnson’s White House Staff

The Mason Forum, a speaker series hosted by scholar-in-residence Richard Norton Smith, announces the first program in the series, Remembering LBJ, on President’s Day, Monday, February 19, at 11:00 am in the Edwin Meese Conference Room, Mason Hall. The program is free and open to the public.

More than 30 years after his death, Lyndon B. Johnson's White House tapes are contributing to a significant reassessment of his presidency—confirming the old adage that history itself is “argument without end.”

This forum will examine Johnson’s presidency from the inside out—featuring former Johnson White House staffers Jack Valenti, Bess Abell and Roger Wilkins—historical players and observers of some of the great events of our time, including the Civil Rights Act of 1964, the Voting Rights Act of 1965, the Great Society, the Vietnam War and Medicare.

Faculty are encouraged to invite students to attend this event, which will include a question and answer session.

The Mason Forum will also host Bob Woodward on March 7 at the Arlington Campus for a talk and book signing. The other two events will be announced as details become available.

 

Mason Hoops Square Off with Kent State in BracketBuster Game

The Mason men's basketball team will face Kent State on Saturday, February 17 at 4:00 pm in the Patriot Center as part of the ESPNU BracketBuster event. Tickets ($11 adult, $6 youth) are still available at the Patriot Center Box Office or by calling (703) 573-SEAT.

The first 1,000 fans at the game will receive a statue of Coach Jim Larranaga cutting down the net during Mason's Final Four run last season.

Prior to the Kent State game, the Homecoming Block Party will begin at 12:30 pm. Following the game, there will be fireworks over Mason Pond.

Next LGBTQ Safe Zone Training, February 23

The Office of Diversity Programs & Services (ODPS) and Mason's Safe Zone Training team announce the next opportunity to increase knowledge and skills as an ally and to help our campus become safer and more welcoming for our lesbian, gay, bisexual, transgender, and questioning (LGBTQ) community members.

The Next Safe Zone Training is on Friday, February 23 in Johnson Center, Room 240A, Paul Robeson Room.

The Safe Zone program assists LGBTQ students, faculty, and staff by providing visible support and access to resources; and assists allies by giving them the opportunity to make their support known to the Mason campus community. The Safe Zone training explores the experiences and challenges faced by LGBTQ people on campus, ways that homophobia and oppression effect the campus community, specific information on transgender experiences, skills for being an effective ally, and the range of resources available to LGBTQ community members. Following the training, participants can choose to receive and post stickers and/or buttons, visibly identifying them as safe zones for anyone with LGBTQ-related concerns to speak with.

WeightWatchers at Work – New Session Now Underway. Mason's new 17-week session of WeightWatchers at Work will have its second meeting this Friday, February 16 in the Johnson Center, Room E, from 11:30 am until 12:15 pm. The cost of the series is $196 for all 17 sessions; participants may register at any time and the cost will be pro-rated based on the number of sessions attended. This workshop will provide an overview of Administrative Policy No. 2101, Travel Authorization and Reimbursement Policies as well as detailed information concerning processing travel authorizations before a trip and travel reimbursement requests at the conclusion of a trip. Procedures for purchasing airline/train tickets and hotel accommodations will also be covered. The workshop will also include a demonstration of the Travel Request System, the Mason web-based application for preparing authorizations and reimbursement requests.
